The Problem

Limitations of credit cards as payment methods

Before using AlaanPay, Empire Aviation relied on credit cards and cash to make business payments. The system was highly manual and posed many challenges such as: 

‍Personal Credit Card Use: Employees often had to use their personal credit cards to cover travel expenses, which was difficult. It led to additional costs for employees, such as bank commissions and fees. It also meant they had to wait for reimbursements, which made managing their finances harder.

Issues with Company Credit Cards: Using company credit cards for more significant expenses presented challenges, particularly when there were issues with the bank. Sometimes, the cards would get blocked, thereby delaying payments. 

Lack of Expense Tracking: Team members often lost receipts, making it difficult for the accounting department to maintain accurate records and categorise expenses correctly. Overall, it impaired financial reporting and management.

The Solution

Organised and efficient expense management 

Easy categorisation of Expenses: With Alaan cards, Ziwo created specific cards for different categories. For instance, one card was created for large online expenses like Google Adwords and another for departments like sales and HR. This helped manage and track expenses more effectively.

By simply using the Alaan mobile app, the finance team could easily create cards, block them or adjust budgets as needed, enhancing control over spending.

‍Simpler payments and expense recording: Team members can now quickly pay via Alaan cards and record expenses by uploading receipts. The mobile app automatically categorises expenses and submits them for approval, simplifying expense reporting for both spenders and the finance team. 

Cashback on Expenses: 

Almost all expenses made using Alaan cards help the Ziwo team get a 2% cashback. This cashback is deposited directly into the company’s wallet and can be used anywhere.  

One additional benefit of Alaan cards is the cashback that we get on almost all our expenses. It is a cherry on the cake.

Conclusion

Our cards and expense management solution greatly improved Ziwo's expense management by helping the team organise expenses, manage cards easily, track receipts, and use a handy mobile app. These changes enabled Ziwo to manage their growing team's expenses more effectively and even benefit from cashback incentives.

We are more than 150 people in the team and I don't think we can do it without Alaan cards now.
